1. The personal data we collect
Depending on how you interact with us, we may collect and process the following:
– Identity and contact details — your name, job title, business or venue name, email address, telephone number and postal address.
– Booking and enquiry information — details of the talent, events, venues or appearances you enquire about or book, together with related correspondence.
– Talent and management information — for artists on (or applying to join) our roster and their representatives: stage and real names, contact details, social media profiles and following, professional details, and anything you provide in support of a roster application.
– Website and technical data — your IP address, browser and device information, and details of how you use our website, collected through cookies and similar technologies (see section 10).
– Marketing preferences — your choices about receiving marketing from us and the channels by which you wish to be contacted.
We do not routinely collect special category data (such as information about health, ethnicity or religious belief). Please do not send us such information unless we specifically ask for it.
2. How we collect your data
– Directly from you — when you contact us by phone, email or WhatsApp, complete a form on our website, make or respond to a booking enquiry, apply to join our roster, or subscribe to our communications.
– Automatically — when you use our website, through cookies and similar technologies.
– From third parties — such as talent management companies, publicly available business sources and industry contacts, where relevant to our services.
3. How we use your data and our lawful bases
Under UK data protection law we must have a lawful basis for processing your personal data. We rely on the following:
– Responding to enquiries and providing our services — to handle booking enquiries, arrange and manage personal appearances, and liaise between clients and talent. Lawful basis: performance of a contract, and our legitimate interests in running our business.
– Managing our roster and talent relationships — to assess roster applications, maintain artist records and manage bookings. Lawful basis: performance of a contract and our legitimate interests.
– Marketing communications — to send you news, talent updates, availability highlights and offers we think will interest you. Lawful basis: your consent, or our legitimate interests where you are an existing business contact (see section 4).
– Improving our website and services — to understand how our website is used and make it better. Lawful basis: our legitimate interests and, for non-essential cookies, your consent.
– Meeting our legal obligations — to comply with our legal, accounting and regulatory duties. Lawful basis: compliance with a legal obligation.
Where we rely on legitimate interests, we have considered whether those interests are overridden by your own rights and freedoms, and we will always respect your right to object.
4. Marketing communications
We will only send you marketing where we are permitted to — either because you have consented, or because you are an existing business contact, the marketing relates to similar services, and you were given the chance to opt out when we collected your details.
You can opt out of marketing at any time by clicking the unsubscribe link in any marketing email, or by emailing us at hello@bigbangtalent.co.uk. We use Pipedrive to manage and send our email communications.
5. Who we share your data with
We do not sell your personal data. We may share it with:
– Talent, clients and their representatives — where necessary to arrange and fulfil a booking.
– Service providers acting on our behalf — including our CRM and email marketing provider (Pipedrive), our website host and IT providers, and our professional advisers. These parties may only use your data on our instructions and are required to keep it secure.
– Regulators, law enforcement and other authorities — where we are required to do so by law.
6. International data transfers
Some of our service providers may store or process personal data outside the UK. Where they do, we ensure appropriate safeguards are in place — such as the UK’s International Data Transfer Agreement or adequacy regulations — so that your data continues to receive an equivalent level of protection.
7. How long we keep your data
We keep personal data only for as long as necessary for the purposes set out in this policy and to meet our legal and accounting obligations. Booking and client records are generally retained for six years after our last interaction, in line with our legal and tax obligations. Marketing contacts are retained until you unsubscribe or ask us to remove your details. When data is no longer needed, we securely delete or anonymise it.
8. Data security
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. Access is limited to those who need it, and our service providers are required to maintain appropriate security standards.
9. Your rights
Under UK data protection law you have the right to:
– Access — request a copy of the personal data we hold about you.
– Rectification — ask us to correct inaccurate or incomplete data.
– Erasure — ask us to delete your data in certain circumstances.
– Restriction — ask us to limit how we use your data.
– Objection — object to processing based on our legitimate interests, and to direct marketing at any time.
– Portability — request your data in a portable, machine-readable format.
– Withdraw consent — where we rely on consent, withdraw it at any time.
To exercise any of these rights, contact us at hello@bigbangtalent.co.uk. We will respond within one month, and there is normally no charge.
10. Cookies
Our website uses cookies and similar technologies to function properly and to help us understand how the site is used. Non-essential cookies are only set with your consent, which you can manage through our cookie banner or your browser settings.
11. Changes to this policy
We may update this policy from time to time. The current version will always be available on our website, and we will show the date it was last updated at the top of the page.
12. How to contact us and complaints
